How to correctly print from GM VIS with DealerTrack DMS

Question: My GM VIS is not printing correctly.  How do I get it to print correctly?

Answer: If GM VIS will no longer display vehicle history and only prints a sheet with the VIN you most likely have a password problem.  If you have recently changed your password on GM DealerWorld, you will also need to change your password within DealerTrack DMS.  Your Dealership Security Officer can do this for you.  This is done by going into application System Environment and then clicking on User Security. Please comment on the blog or use the “Ask an Expert” function if the Dealership’s Security Officer is not available and a customer support representative will contact you.

Using DealerTrack DMS from a Remote Location

Question: Can I log into the Dealertrack DMS from a remote location?

Answer: Yes.  Remote connections are very easy to establish with DealerTrack Dealer Management System.  If the dealership is not already set up for this feature they must first request the connection be set up.  Call 1-800-429-3375 to contact the Inside Sales department at Dealertrack DMS to request the connection.  Once the Inside Sales team has set the dealership up then DealerTrack Support can help you connect successfully for the first time.  Please make a comment or ask a question if you would like additional details and a customer support representative will contact you soon.

There’s No Crystal Ball to Plan for Next Year

I recently read an article titled “Put Away the Crystal Ball” by Tony Noland in Ward’s Dealer Business.  I’m sure many of you, like me, are involved in planning, forecasting, and budgeting for 2010.  This time of year really makes me wish for a big crystal ball that will give me the magical answers on how to run my business next year.  Unfortunately, that crystal ball doesn’t exist and, as Tony Noland put it, “We have to plan based on historical information, know factors and sound business judgments.”

Of course we want to be optimistic in our plan but it’s also important to be realistic.  According to Noland, “we want to believe next year will be better and business will be great.  But we have to ask, will it be different and if so, why?”  The bottom line is we have to plan based on realistic historical data.

Many people view budgeting and forecasting as more of an art than a science but with the right data you can make assumptions based on historical and empirical data. With the right software, dealers have a plethora of tools at their disposal that enable them to look back as far as needed to help make logical and calculated decisions for the future So in just a few clicks you can look back at your historical data  and build a solid and logical plan for the future.

How to run a Financial Analysis with DealerTrack DMS

The Financial Analysis tool is a powerful reporting feature that allows you to build customized reports on any combination of general ledger accounts.  Use this tool to help build your budgets, forecast expenses, analyze trends, and much, much more.

With Financial Analysis reports, you can display up to 16 columns of customized information and print up to 12 columns. You can drill down to any dollar amount in the analysis, either to the GL journal or the source document. Other Dealer Management Software companies, including ADP and Reynolds and Reynolds, do not have this feature, making it unique to the DealerTrack Dealer Management System. You can also set up forecasts to see if you are meeting their goals throughout the month. Some owners may be interested in trended expense reports to monitor their expenses.

The Financial Analysis screen can be reached from the General Ledger application menu.

User Guide

After selecting “financial Analysis” from the General Ledger application menu, the screen that displays lists all Financial Analysis reports that have been created and saved.  The following Options and Functions are available from this screen:  Line options that are available from the Financial Analysis Report List Screen Are:

  • 1=Work With – Use this option to build or modify a report.
  • 2=Edit – Displays the Financial Analysis Report Definition Screen. Make changes to the Report Title and report lines from this screen.
  • 5=Display – Displays the report.
  • 6=Print – Prints the report selected. When this option is used, the Financial Analysis View Selection Screen will display.
  • 8=Forecast – Allows different forecast amounts/units to be entered for any G/L line in the report.
  • 9=Print Exception- Lists accounts not routed in a doc according to selected type and department, and lists accounts routed more than once in a doc. This can be used for troubleshooting purposes.
  • 10=Security – Add display/change security to different users. Use this option to display the Financial Analysis Report Security Window for the selected report.
  • OK – Confirms selection of the indicated option
  • Exit – Returns to the General Ledger application menu
  • Add – Displays the new report definition window, for building a new report. Previously built reports will display on the Financial Analysis list screen.

    Forgot your Dealer Management System Password

    If you have forgotten your password to access the DealerTrack Dealer Management System, help is closer than you think.  Passwords to the system can only be created and reset by the Security Officers in your dealership.  Most dealerships have several officers that control passwords to the auto dealer software.   Make sure you familiarize yourself with who these people are within the dealership.  They have the access to reset your password at any time.  Once reset, you will log on using your DealerTrack DMS ID as both the ID and Password and the auto dealer management software will give you the opportunity to enter a new and unique password.  Please remember that three attempts to connect with the wrong password can disable your workstation’s connection requiring you to call into support.
